In Winner Bizz, users can assign users default roles, for example, Inspector and Salesperson. Inspectors are responsible for order control. Salespersons have no rights to skip the order control.
To set up these user rights, stay in the Edit user role dialog and select the Automatic tasks rights menu.
Note: Standard user roles cannot be edited. Users must create a copy.
Here are the tasks concerning the order control that are assigned to each user:
- Each time an alternative is approved for order, the inspector is notified in the menu Communication > Task and mails that the customer order has to be controlled. To activate this task, tick the box, New order has to be controlled.
- If the inspector controls a customer order and, for example, notices that a piece of furniture is missing. The salesperson who is working on this alternative will be notified in the menu Communication > Task and mails that the document has to be corrected. To activate this task, tick the checkbox Order control NOT OK.
- When the salesperson has added the missing piece of furniture, the inspector will be notified in the menu Communication > Task and mails that he has to control that the error has been correctly revised. To activate this task, tick the box Order correction done.
- If the inspector estimates the customer order is correct, the salesperson will be notified in the menu Communication > Task and mails for information. To activate this task, please tick the box Order control OK.
Follow and validate the corrections
After each modification, inspectors and salespersons have to fill the status of the order.
To do so, click Sales > Customer orders control. Then, select the order for follow-up and click Change status. A dialog will appear, corresponding to the user's role, for example, inspector.
The salesperson creates an alternative which is approved for order. The status of the order will automatically be set at Not controlled. The inspector opens it and sees a missing piece of furniture. They will tick the Not OK (Correction by salesperson) because a correction is needed by the salesperson. The inspector can also leave a message to the salesperson.
Once the salesperson has corrected the error, they can tick Corrected. To request confirmation from the inspector, they can tick Not OK (Correction by inspector). If the alternative is correct, the inspector can tick OK. If it is not, they can tick the case Not OK (Corrections by salesperson).
Note: This process can be repeated until the inspector ticks OK.
Follow the alternatives
To view which alternatives the user needs to review select Sales > Customer orders control.
- Each alternative which is approved for order will appear in the To be controlled list (1).
- If the user is an inspector, the alternatives that the user has to control or correct will appear in the Waiting for correction by inspector list (2).
- If the user is a salesperson, the alternatives that the user has to correct will appear in the Waiting for correction by vendor list (3).
