Winner Bizz Mail is our integrated email client with that links incoming and outgoing mails in the customer or supplier follow-up. If the user does not want to use the integrated email client, they can skip this section and continue with the next section.
Winner Bizz Mail can handle more than one email account per user. If the user has such a need, they can repeat the steps outlined below.
In the User edit dialogue, go to the Email settings tab and click on the button New to open the email settings dialogue.
Fill in the data needed to set up the connection between Winner Bizz and the email account of the mail server. The needed information will be provided by the user's system administrator or web responsible.
- Account: fill in the username of the email account.
- Account type: From Winner Bizz v12.0, POP3 protocol won’t be available for new accounts anymore.
- Incoming mail server: Here users have to fill in the URL to the incoming mail server, for example, pop3.tl-domain.com.
- Incoming server port: Fill in the server port, depending on the account type and encryption that is used. This information should be provided by the user's system administrator or domain provider.
- Outgoing mail server: Here users have to fill in the URL to the outgoing mail server, for example, smtp.tl-domain.com.
- SMTP port: Fill in the server port for outgoing mails, depending on the account type and encryption that is used. This information should be provided by the user's system administrator or domain provider.
- SMTP server requires authentication: If the user's mail server requires authentication when sending mails via SMTP tick this checkbox. The user should be advised by their system administrator or domain provider if this setting must be activated or not.
- Use another account for outgoing mails: In case the user has different credentials for outgoing mails server authentication and incoming mails, tick this checkbox. The fields SMTP account and SMTP password will be enabled, and the user should enter the account information.
- Use TLS/SSL connection: If the user's mail server supports encrypted connections via the TLS or SSL protocol, the user should tick these checkboxes. The connection from Winner Bizz Mail to the user's mail server will be encrypted. If the user's mail server does not support TLS or SSL encryption, the user may have to disable those settings. Changing these settings may also require a change in the port settings.

| Note: This matrix shows the standard ports defined by IANA (Internet Assigned Numbers Authority). It could be that your provider uses other ports besides the standard ports or an encrypted connection is also possible via (by default) non-encrypted ports. This matrix should give you the information about the common standard ports. | ||
When setting up an IMAP account, the user has to set the respective folders in the IMAP folder settings. To do so, click IMAP folders. In the following dialogue, the user has to set the folders for inbox, sent mails, drafts and trash mail.

Mail options: By default, Winner Bizz will check for new incoming mails every 20 minutes. If possible, do not go any lower with this value, since this will increase the load of the Winner Bizz server and in the worst case, this can have an impact on the system performance. Some mail servers also even reject requests with a higher frequency to prevent their system from being overloaded.
For POP3 accounts, by default, Winner Bizz does not delete any mails from the mail server after they are downloaded to Winner Bizz. If the user wants Winner Bizz to clean up the mail server after the mails are downloaded, tick the checkbox Remove emails from the server after and change the date after how many days the emails should be deleted from the mail server.
Note: to clear up space in the user's database, email attachments and contents will be removed from Winner Bizz database after 6 months. If the user wishes to access to these mails after this time limit, Winner Bizz will restore its content and attachment data by downloading it from the IMAP server.
Users can also define a default signature. While being in the tab Email settings, where the list of email accounts is shown, users will see a button User email settings. Click it, followed clicking on Add in the Signature field.
A new dialogue is shown, where the user can type in the signature. Users can also set whether it will be used as the default signature for new emails or when forwarding or replying to mails.
